Beyond Benign is a nonprofit organization whose mission is to foster a green chemistry education community that empowers educators to transform chemistry education for a sustainable future. Beyond Benign is seeking a professional individual for a new role as a team Administrative Assistant. The Administrative Assistant provides essential administrative, event, and grants support to ensure the smooth operation of organizational programs and initiatives. This role supports conference and event coordination, grant tracking and reporting, calendar management, and general administrative functions. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a collaborative team environment.
Key Responsibilities:
Event & Conference Coordination
- Assist in planning and logistics for conference events, including catering, scheduling, and vendor communications.
- Support staff with event registration processes, materials preparation, and on-site logistics as needed.
- Coordinate internal communications to ensure smooth event execution.
- Maintain a comprehensive program events calendar to track upcoming activities, deadlines, and milestones.
Grants & Fundraising Support
- Track and organize grant reporting deadlines and deliverables.
- Assist in drafting, formatting, and submitting grant reports.
- Provide light support with grant proposal preparation, including gathering materials and data.
- Schedule and coordinate meetings with funders and partners.
Administrative & Calendar Management
- Manage organizational calendars, ensuring alignment across leadership, project, and partner meetings.
- Schedule meetings, prepare agendas, and distribute follow-up notes when appropriate.
- Support coordination with the marketing firm to ensure alignment on communications, outreach, and promotion of events.
- Provide general administrative support, including electronic file management and communications.
Qualifications
- 2+ years of experience in administrative support, event coordination, or nonprofit operations.
- Strong organizational and time management skills; ability to manage multiple projects and deadlines.
- Excellent written and verbal communication skills.
- Experience with grant reporting or fundraising support preferred.
- Proficiency with standard office software and digital file management systems.
- Flexibility to occasionally travel for conferences and events.

Terms: This is a full-time, 2-year contract position with the possibility of extension depending on funding and performance. The incumbent will be supervised by the Director of Operations, Amanda Trellopoulos.

Compensation: Salary is negotiable and will be based on experience and qualifications. Benefits package, PTO, and professional development opportunities are available.
